PEP-Cloud to BuildFolio Migration Guide

Before PEP-Cloud shuts down, export everything you’ll need. Don’t skip this step – once the service is offline, your data is gone.

Export Your Estimates as PDFs

1. Log into your PEP-Cloud account
2. Go to your Estimates or Jobs section
3. For each important estimate, click to open it
4. Use the Print/Export function to save as PDF
5. Save to a folder on your computer (e.g., “PEP-Cloud Exports”)

Focus on your best estimates – these serve as templates for recreating in BuildFolio.

Export Customer Data

1. Navigate to Customers or Contacts section
2. Look for an Export or Download option
3. Export as CSV if available
4. Save the file with your other exports

Document Your Template Structure

For each template you use regularly, note:

• Page layout and sections
• Material options and pricing tiers
• Checkbox configurator options
• Standard terms and conditions
• Any custom calculations or formulas

Account Setup Steps

1. Go to app.build-folio.com/signup
2. Enter your email and create a password
3. Fill in your company information:
   • Company name
   • Your name and phone number
   • Business address
   • Trade type (roofing, painting, etc.)
4. Upload your company logo
5. Verify your email address

Initial Configuration

After account creation, take a few minutes to:

• Complete your company profile
• Set your default tax rate
• Add your license number if required in your state
• Configure notification preferences

This is the most time-consuming step. Start with your most-used templates and add more over time.

Start with Your Top 3-5 Templates

Don’t try to recreate everything at once. Identify the templates you use on 80% of jobs and focus there first.

Template Creation in BuildFolio

1. Go to Templates section in BuildFolio
2. Click “Create New Template”
3. Choose a starting point (blank or pre-made)
4. Add sections that match your PEP-Cloud layout:
   • Cover page with your branding
   • Scope of work section
   • Material options with pricing
   • Terms and conditions
   • Signature block
5. Save and test with a sample estimate

Recreating Multi-Page Estimate Books

BuildFolio supports the same multi-page estimate format you’re used to in PEP-Cloud:

• Add multiple pages/sections to a single template
• Include checkbox options for customer selection
• Set up Good/Better/Best pricing tiers
• Configure which items are optional vs. required

Set up your pricing structure and material options to match what you had in PEP-Cloud.

Material Library Setup

1. Go to Settings > Materials (or Product Library)
2. Add your commonly used materials:
   • Material name and description
   • Unit cost and markup
   • Unit of measure (sq ft, linear ft, each)
   • Category for organization
3. Group materials by category (e.g., Shingles, Underlayment, Flashing)

Pricing Configuration

• Set your labor rates by task type
• Configure markup percentages
• Set up pricing tiers if you use Good/Better/Best
• Add any flat-fee items (permits, dumpster, etc.)

Checkbox Configurator Setup

BuildFolio’s checkbox configurator works similarly to PEP-Cloud:

1. Create option groups (e.g., “Shingle Selection”)
2. Add options within each group
3. Set pricing for each option
4. Configure whether items are single-select or multi-select
5. Link options to your templates

Before relying on BuildFolio for real jobs, thoroughly test your setup.

Testing Checklist

• Create a complete estimate using each template
• Test the customer view – how does it look to them?
• Try the digital signature process
• Test email and SMS delivery
• Verify pricing calculations are correct
• Check PDF export formatting

Try BuildFolio’s AI Features

While testing, try features PEP-Cloud didn’t have:

• AI Roof Measurements: Enter an address and get instant measurements via Google Solar API
• Photo Analysis: Upload a damage photo and get AI-suggested scope
• Voice-to-Quote: Speak your estimate and let AI generate the estimate

Go Live Strategy

We recommend a parallel approach:

1. Week 1: Use BuildFolio for new leads while keeping PEP-Cloud for existing jobs
2. Week 2: Use BuildFolio for all new estimates
3. Week 3+: Full transition – only use PEP-Cloud to reference old estimates

This is something PEP-Cloud never had. BuildFolio’s Living Estimates let customers interact with your quotes in real-time—selecting options and watching totals update instantly.

Living Estimates vs Static PDFs

While PEP-Cloud sent static PDF estimates, BuildFolio’s Living Estimates are interactive web pages where customers:

• Check and uncheck options to see prices update instantly
• Compare Good/Better/Best packages side-by-side
• See monthly financing payments for each configuration
• Sign digitally without downloading anything

Set Up Material Photo Cards

Add 16:9 material photo cards to show customers exactly what they’re buying:

1. Upload high-quality photos of shingle colors, equipment, or finishes
2. Organize into galleries (e.g., “Shingle Options,” “Premium Upgrades”)
3. Link photos to your pricing options
4. Customers see the visual alongside the price

Configure iPad Presentation Mode

BuildFolio includes presentation mode for in-home sales:

• Swipe through material options on iPad/tablet
• Present Good/Better/Best packages professionally
• Get signatures on the spot
• Works offline for poor-connectivity job sites

Another feature PEP-Cloud didn’t have: free instant roof measurements via Google Solar API. If you’ve been paying for EagleView or RoofSnap, BuildFolio can replace those subscriptions.

1. Enter any address in BuildFolio
2. Get roof area, pitch, and segment breakdown in ~10 seconds
3. Measurements embed directly into your estimates
4. No per-report fees—unlimited with Pro plan

What Data You Get

• Total roof area in square feet

• Usable segments for solar installations
